Title: Secretary Reports to: Board of Directors Term: Up to 3 years
Description: The Secretary maintains COGGS' key governance documents, including but not limited to the Strategic Plan and the Bylaws. The Secretary updates documents to reflect the decisions of the Board and sends documents out for review/approval. The Secretary works directly with the Chair to develop the agenda with input from the Board, and coordinates with the Executive Director to ensure board decisions and organizational records stay aligned. The Secretary also attends meetings with the Executive Director and key stakeholders when possible for documentation purposes.
Recurring Duties:
Develops agenda for board and membership meetings with input from the board and Executive Director
Records minutes from board and membership meetings
Distributes meeting minutes to members via Google Drive
Maintains the Board's Google Drive folder for governance documents (Bylaws, Strategic Plan, minutes, agendas)
Schedules and confirms facilities for board and membership meetings
Creates Facebook events for monthly meetings/special events as requested
Serves as a backup point of contact for the COGGS website email form, directing inquiries to the Executive Director or other appropriate contacts within COGGS
Desired Qualifications:
Previous experience volunteering for COGGS or another outdoor group
Understanding of the City of Duluth's parks system and management practices
Good written and verbal communication skills
Basic computer skills (competence with MS Office and Google Docs)
A durable sense of humor and a healthy amount of patience
